Destruction of Records Notice

The school district is committed to maintaining accurate educational records while respecting the privacy and long-term needs of our students and families. In accordance with state and federal laws, the District retains student records for specific periods after a student graduates, transfers, or withdraws.
Because certain records, particularly special education documentation, can be vital for future college planning, employment, or accessing social agency benefits, we encourage families to review the retention timelines below. You have the right to request and obtain copies of these records before they are permanently destroyed.
The School District retains student records for the following periods:
- Permanent Record File (which includes basic identifying information, academic transcripts, attendance records, and certain health records): The permanent record file is retained for 60 years after the student graduates, transfers, or otherwise permanently withdraws from the District.
- Temporary Record File (which includes all other student records): The temporary record file is retained for 5 years after the student graduates, transfers, or otherwise permanently withdraws from the District.
After those retention periods, student records are destroyed. Before destruction, the person with rights relating to the records (typically, the parent or the student) may obtain copies of the records upon request.
If the student is an individual with a disability who received special education services via an Individualized Education Program (IEP), the temporary record file includes special education records and other information that may be of continued assistance to the student. Special education records may be of future usefulness in planning and programming for the student’s educational needs, or accessing other agency benefits and services. After the 5-year retention period (but before destruction), special education records may be transferred to the custody of the parent or student (if the student has succeeded to the rights of the parent), upon request.
How to Request Records
To request copies of student records before destruction, a parent or student (if they are at least 18 years of age at the time of the request) may contact the Record Custodian at (847) 966-8200 or 9401 Waukegan Road in Morton Grove.
Upcoming Destruction Schedules
